Appointment length and format
Therapy session lengths depend on your case. They tend to be shorter for young children and longer for older children and/or adults. Typically some of the appointment is reserved for discussion and or chances for support people to practice various techniques. The proportion of time dedicated to hands-on therapy activities and consultation will vary from session to session.
We request that one family member or relevant person be available to observe therapy and participate in activities to ensure that they understand how to facilitate communication throughout the week.
We also offer half day sessions at a lower hourly rate. These are most appropriate for therapy targeting functional communication and dynamic assessment. These appointments allow for a more natural interaction across a wider range of activities and include lots of hands on coaching of communication partners. These typically last about 1.5-2 hours and you can expect at least an hour of hands on interaction as well as opportunities for family members and communication partners to try new techniques with the guidance of a therapist.
Phone and skype consults are typically scheduled for 20 minutes, at a time convenient for you. Each week, we reserve an evening and one lunch hour for phone appointments. They can also be scheduled at other times during working hours. We only consult via the telephone regarding clients we have seen recently. There is no charge to call to share successes, ask questions about our service, or give us feedback. Skype sessions are charged at the standard hourly or half hourly rate.
Payment by cash or bank transfer is accepted. An invoice will be emailed to you following the session. Our fees are reviewed twice a year. Any changes in rates will be communicated in advance. We reserve the right to charge a late fee and cease treatment if outstanding payments remain unpaid.
Scheduling and cancellations
If you need to reschedule, please let us know as soon as possible. Appointments that are missed or cancelled with less than 24 hours notice are considered last-minute cancellations. A last minute cancellation fee equal to the normal rate will be charged. The allotted time will be used to review your case files, work on any needed device programming or material construction, and to prepare for future sessions.
If you need to miss an appointment due to illness or unforeseen circumstances, please contact us via email or text as soon as possible and we will do our best to reschedule the appointment to avoid the last-minute cancellation fee. Please keep in mind that this may not always be possible given our commitments to other clients and the distances we often travel to see them.
If you know we are travelling to see you and suspect that you or your child may be coming down with something, please leave us a message the night before so we know to call you before driving to the appointment.
Clinicians also are responsible for monitoring that their own fitness and health is sufficient for work. This means that on occasion a session may need to be cancelled at short notice due to illness or unforeseen life events. In these cases, sessions will either be rescheduled or refunded as you prefer.
Further, if you believe your clinician may have been exposed to a contagious disease during an appointment (i.e., if you or a family member becomes ill shortly after an appointment), please contact us in case we are scheduled to see any clients with suppressed immune systems later that week.
